Customer profile

Create serial number when saving new document
Upon creating a new customer profile a serial customer ID can be created. This serial's format is specified here.

The format must hold the tag <SERIAL>, which will be replaced by the current ID number upon saving. Arbitrary additions can be specified.

Examples:
<SERIAL>C yields 10547C
C-<SERIAL> yields C-10547
Custom. <SERIAL> yields Custom. 10547

Additionally the minimum number of digits can be specified. Smaller numbers will be filled by leading zeros.


Setting for letter salutation

The letter salutation for customer profiles will be created automatically, depending on the country that has been assigned to the customer.

These settings only serve as defaults for a new user's personal configuration or in case a user did not specify any specific settings within the personal configuration.

Clicking the "Default" button within the global configuration document will replace the current value with the application's internal default value.


Settings for postal address

Here the build rules for the address format can be specified. Address information for customer profiles will automatically be determined according to these rules.

Alike to settings for letter salutation, these settings only take effect in case a user did not specify any settings within his personal configuration.

Example:
An address format should contain the values company, branch, street, ZIP, city and country. This can be achieved by using the following format:

<COMPANY><CR><BRANCH><CR><ADDRESS><CR>
<BR><CR><ZIP><CR><CITY><CR><COUNTRY>

Info: The keyword <CR> inserts a conditional linefeed, e.g. a linefeed which will only be inserted when the current line is not empty. The keyword <BR> will enforce an unconditional linefeed.

Clicking the "Default" button will replace the current values with the application's internal default values.


Customer status
Here you can specify categories for the status of a customer relationship. You can define an arbitrary number of states, each beginning on a new line.

Examples for customer status: Customer, Supplier, Project pending

Into the field "Default" you can specify a default status that should automatically be shown upon creation of a new customer profile.

Info: Using a backslash "\" you can define sub-categories, e.g. "Customer\Type A" and "Customer\Type B". Sub-categories will be shown hierarchically within corresponding views.

In any case this is a complete list, i.e. users cannot define new values for the field "Customer status" at runtime.


Contact by
Here you can specify categories about how a contact with the customer has been established. An arbitrary number of entries - each on a new line - can be defined.

Examples for Contact by: Internet, Personal contact, Fair, Telephone

The field "Default" can hold the value that should automatically be shown upon creating a new customer profile.

Finally a selection on whether new values should be allowed at runtime can be specified. If "yes" is selected, users can enter arbitrary values at runtime.


Customer type
Here you can specify categories determining the type of a customer. An arbitrary number of entries - each on a new line - can be entered.

Examples for Customer type: Industry, Public administration, Insurance

The field "Default" can hold the category that should automatically be shown upon creating a new customer profile.

Finally a selection on whether new values should be allowed at runtime can be specified. If "yes" is selected, users can enter arbitrary values at runtime.


Region

Here categories determining the regions customers come from can be entered. An arbitrary number of entries is possible.

Examples for Region: North, East, South, West

The field "Default" can hold the category that should automatically be shown upon creating a new customer profile.

Finally a selection on whether new values should be allowed at runtime can be specified. If "yes" is selected, users can enter arbitrary values at runtime.


Use additional fields from contact profile
Here you can specify whether or not the fields "attribute 1" up to "attribute 3" (see 05. Contact) should also be shown within the form for customer profiles.


Synchroniszing fields between customer profile and associated contact profiles
This section manages synchronization of fields between customer profiles and associated contact profiles.

When e.g. the address of a customer has been changed, this change can automatically be adopted to all associated contact profiles (without having to manually update the address within each contact profile).

Two fields can be used to determine the behaviour of synchronization:

The first field holds a list of fields which should unconditionally be synchronized from customer to associated contact profiles.

The list of fields within the second field will additionally be synchronized in case the option "Allow update from customer profile" has been activated within the corresponding contact profiles.
